The Stated Monthly Meeting of the Huntersville ARP Church was held on January 11, 2011 in the Fellowship Hall of Huntersville ARP Church.

A quorum was declared and the meeting was opened in prayer by Richard Weimer.

In Attendance:  Elders Anthony Navarro, Jerry Young, Trent Gazzaway, Pete Bridge, Bill Taylor, Beard McAulay, Rodger Birdsong, Jerry Shope, Richard Weimer, Rev. Lee Shelnutt.

Absent: Mike Dunn

Approval of last meetings minutes: Minutes of the last meeting were reviewed and approved.

Old Business:

• New Clerk and Vice Moderator election: Motion was made to nominate Anthony Navarro in absentia as Clerk of Session. Motion carried. A motion was made to elect Trent Gazzaway as vice-moderator. The motion was approved.
• Update on pay-schedule approved at the December meeting: Lee presented the document that he was working with his CPA on as it pertained to how his housing allowance will be allocated for tax purposes. Minor modifications were made to the document which made it more legally sound without changing the nature of the plan that was approved at the last meeting.  Document was presented for informational purposes. (see attached)
• Adopted Accountable Reimbursement Plan: Lee presented the Accountable Reimbursement Plan with the revision discussed in the December meeting which is agreeable to his CPA as well as our treasurer. (see attached)
• Web-site revision update: Anthony Navarro announced the “soft launch” of the new website, noting it’s simpler, cleaner design, and easier navigation. The Diaconate is testing the secure members area, keeping their minutes and Policies / Procedures in those areas. The Session will follow in the next week or so, and finally a general notice will be sent to the congregation so they can access areas such as prayer lists, member directory, and more.
• Photo Directory: waiting on a hardcopy proof from Olan Mills
• Administrative Assistant Update: Lee and Anthony will draft a proposed job description in the next month.
• Book-keeper update: Trent gave an update on the bookkeeper position. Final candidate(s) are being reviewed, and we will probably switch from QuickBooks to PowerChurch, which the Church is already licensed for.
• Welcome to HARP – Inquirers’ Class: sessions will be held during the Sunday School Hour starting on January 29. We have 5+ interested parties plus the Shelnutt family.
• Audit: Member Phil Wilson’s firm will be secured to perform the periodic audit. Treasurer will provide a report in upcoming months.
• Update on Wedding Policy: Diaconate has approved updates to the Wedding Policy. A wedding from a couple by a family from a sister congregation will be held at the church on Saturday, May 5, 2012.
• Officer Training at First Gastonia: Officers were reminded about the Presbytery-Sponsored training coming up on February 18 at First Gastonia. HARP will pay for the registrations of the interested attendees. Members are encouraged to tell Lee or Anthony as soon as possible so we may pre-register. Cost of registration is $27.00 per person, $25.00 per person for groups of 5-9 attendees, and $20.00 per person for groups of 10+ attendees.
• Shepherding Book Discussion Schedule: books have been purchased and distributed. Chapter 1 will be discussed next month. Lee proposed that session members will take a chapter each month and lead our monthly devotional
• Renovation Update: d.v., we could within 10 days have the elevator in an inspectable state, whereby upon approval we can then begin construction. Need to call the phone company and get a dedicated line patched into the elevator. We need to keep a tickler for after construction where we can look at installing the old church Bell in a gazebo or some kind of structure.
• Other: None Reported

The Old Business portion of the meeting was adjourned that the Session may assemble at a local restaurant for fellowship and a thank-you ‘send off’ to our two outgoing elders, Pete Bridge and Beard McAulay. Meeting was called back into order.

New Business:

• Proposals on bulletin, newsletter and prayer guides:  Lee and Anthony proposed a new format to the bulletin in order to aid in worship and be able to expand its usefulness, including the inclusion of prayers, Bible Reading guides and weekly devotionals. use of a perforated tear-off to facilitate visitor cards and prayer requests will also be easier in this new format. Session approved moving forward with the new format.
• Proposal on committees/organization: Lee distributed a proposal for various committees to be headed by the Session and Diaconate. Lee will be in attendance at the diaconate meeting to introduce it to them. it is similar to our former “4-C’s” approach with Session, Diaconate, and joint ownership of committee functions.
• Involvement of Vincent (Michael) Cochran and Andrew Evans: Both Vincent and Andrew are members of HARP with ministry leanings. Vincent is currently enrolled in Erskine Seminary with intention of becoming involved in foreign missions. Andrew plans to earn his degree at Davidson College and attend seminary afterwards which may or may not lead to a ministry calling. Lee would like to give them opportunity to be involved in worship, such as providing the Children’s message, etc. Session approved.
• Presbytery schedule and delegates: Anthony Navarro was nominated to serve as delegate at the Winter meeting of Presbytery. Bill Taylor will attend as a visitor.
• Shepherding groups:  For this month the current shepherding lists of Pete Bridge will go to Jerry Young, Beard McAulay’s list to Trent Gazzaway, and David Winburne’s to Bill Taylor. next month any ‘fine tuning’ of the lists will be made to finalize the 2012 Shepherding Lists.
• Elder Concerns: None to report.
• Middleschool Request: Kathy Young would like to implement a Sunday evening middle school program consisting of an hour of teaching (curriculum from Great Commissions Publications) and an hour of recreation. Session approved.

A motion was made to adjourn, seconded, and passed.

Adjustments of the Roll:

Lifetime Member and Elder Emeritus William Brown was removed from the Roll due to his passing away on December 23, 2011
